bpm.pro: Case study "Administration of analysis and reporting data"

One of our customers approached us with the task to find a solution for the administration of received batched material and their analysis data as well as for the generation of work certificates for their own delivery. The analysis data which is provided by the suppliers in paper form is to be scanned in, indexed and made available in digital form for later data gathering. Data which has been recorded is to be verified in accordance with the four eye principle and released for use in work certificates. The implemented ERP system did not have such a functionality.
Following core business objects have to be administered:

  • Customers
  • Order heads
  • Order positions
  • Deliveries
  • Supplier (usually distributors)
  • Charges
  • Analysis data

The main functions that had to be implemented were

  • Master data administration for customers, orders and order positions (including gathering, listing, search),
  • Administration of charges and analysis data (gathering, listing, search e.g. according to supplier/material/charge, scanning of analysis data and allocation to charges, verification of gathered analysis data based on four eye principle,
  • Generation of work certificates for respective orders/deliveries (different variations according to customer wishes),
  • Supervision/listing of reports to be printed with status (delivery status, availability of analysis data etc.) and
  • Option to release an application reference for charges

Furthermore access options to administered data are controlled over a role based authorization system.
With the business object modeller bpm.pro-objectdesigner it is easy to model and generate business objects. With the assistance of script based customizing functions it was possible to realize all gathering and search functionalities mostly "programming free".
One was able to scan in the analysis data over the bpm.pro-Module directscan. This module already contains the option of "batch scan" – large numbers of documents can be centrally scanned in one step and be allocated to individual processes at another place. The verification of gathered analysis data based on the four eye principle and the supervision of print statuses of reports were realized with the help of the module flowcontrol.
The work certificates were deposited in form of MS-Word templates. These are brought together by the easydoc-Module with the respective transaction data. It was possible to realize the application reference with the help of standard evaluation connected objects. A role based authorization system is included in the standard delivery of bpm.pro.

Resume

With the help of bpm.pro standard components it was possible to provide the customer with a tailor-made software solution in respect to their handling of procedures. One was able to entirely copy the business objects and procedures which have to be administered with the assistance of the customizing functions and no individual implementations were necessary. It is possible at any time to make adjustments – which can partly be made by the customer – which will not affect the upgradability. So the customer solution "grows" with every bpm.pro-release.
